Tax Information

W-2, 1095-C, 1099 & Employment/Income Verification

W2 Information

• W-2 forms will become available to employees in Workday in mid-January
• Paper W-2s will be distributed by the end of January.

Current Employees

• Paper W-2’s will be sent to the units, to be distributed to employees by the local business office by the end of January.
• Electronic W-2s will also available inside the Workday Pay app in January.

Former Employees

• Former Employees have access to Workday for 18 months after the termination date.
• Information accessible includes Pay & Tax information, as well as Home contact information updates.

• Paper W-2s will be mailed to terminated employees. RHA uses the Home address on record in Workday as of 12/31.
• Electronic W-2s will also be available inside the Workday Pay app for 18 months after termination.
• If a former employee is having login issues, please see the Workday Password Reset & Support page

Access the W-2 Electronically

• Electronic W2s can be accessed in Workday once generated, no later than January 31st.

• 2017 W-2s – You can access this document in Workday by selecting the Pay app, then selecting My Tax Documents under the View tab.

Contract Workers

1099s will be sent to contract workers by the end of January each year.

1095-C Form – Proof of Healthcare Coverage

• The 1095C is an IRS required form that provides information regarding any employer-provided health insurance coverage — or offers of coverage. It may also detail the months of coverage you and any spouse and/or eligible dependents had during each month.
• While information on these forms may assist in preparing a return, the forms are not required to file.
• Employees can prepare and file their returns using other information about their health coverage.
Employees do not have to wait for Forms 1095-C to file.
• It is anticipated that RHA will send the 1095C by mid-February.

How do I verify my RHA employment, salary and work history?

RHA uses The Work Number for employment, salary & work history verification.

Buying a home or a car? Applying for a loan? Leasing an apartment?

You’ll need proof of employment or income…

The Work Number is an automated service that protects your personal information during the verification process. This secure service is used when you apply for a mortgage or loan, a job, lease an apartment or any other instance where proof of employment or income is needed.

How it works…

Need proof of employment or income?

Give the person needing proof of your employment the following information:

• Your Social Security Number
• RHA’s Employer Code: 15242

Need to create a Salary Key?

A salary key is one form of employee authorization used to release income.
If a verifier is requesting a salary key from you, please take the following steps:

  1. The Work Number access options for employees: www.theworknumber.com or 1-800-367-2884
  2. Select “I’m an Employee”
  3. Select “Enter Site”
  4. Enter the Employer Code (15242) and select “Log In”
  5. Select “I want to provide proof of employment and income”
  6. Enter your User ID and select “Continue”
  7. Enter your PIN and select “Log in” – employer to provide PIN scheme
  8. Select “Create a Salary Key”
  9. Select “Create Another Salary Key”
  10. Write down the six-digit number ______________

Provide the person requesting the salary key with the following information:

• Your Social Security Number
• Employer: RHA
• Employer Code: 15242
• Your salary key

Applying to a Social Service Agency?

Provide this information to your case worker.

If registered:

•Select “Enter Site” under Social Service Verifiers
• Select “Log In”
• Enter your Username and select “Continue”
• Enter your Password and select “Log in”
• Enter the following information when instructed:

• Employer: RHA
• Employer Code: 15242
• Applicant’s Social Security Number
